How to Use the Other Reports Suite in Clearing

A guide to every report under Reporting > Other Reports in Clearing: by category and month, by category and asset, reimbursable expenses, booking financials, 1099, taxable revenue, and missing categories.

Clearing's Other Reports tab holds a set of reports built for different reporting needs. This article walks through what each one shows and when to use it, so no matter what you're looking for, you should be able to find or build the report that gets you there.

To get started, go to Reporting in the left-hand menu, then click Other Reports across the top.


Report by Category and Month

This report aggregates all of your financials by category and month. Only bookings marked in statements are included.

The results are broken into three sections:

  • Booking financials: any category that shows up within a booking's booking financials.

  • Transactions: any transaction with that category.

  • Resolutions: any resolution in that category.

Right-click on any amount to see the details, this shows every transaction or financial line making up that total, whether it came from the Transactions tab or a booking's financials. From there you can export the details to Excel, or download the entire report as a CSV.


Report by Category and Asset

This is the same report as Report by Category and Month, but with an added column for every asset, so booking financials, transactions, and resolutions are broken out by category and further aggregated by asset. As with the report above, you can right-click any number to see the details, export those details to Excel, or download the entire report as a CSV.


Reimbursable Expenses

This report tracks your reimbursable expenses by month and category. Asset and category are listed on the left, with the total amount under each month. Pull it for a single month, or an extended date range, pulling a full year, for example, shows the amounts broken out month over month. Right-click any amount to see the details.


Booking Financials

This report lists every booking financial line, with the booking ID, channel code, channel, check-in date, check-out date, reservation date, guest name, category, amount, accounting field (owner, management, exclude, tax, etc.), asset, and owner. A total amount for the report shows at the very top.

Click into any booking to open it and review it directly, or download the entire report as a CSV. This report is especially handy when you want to pull a specific category (cleaning fees across every booking, for example) but also need booking-level context like asset, channel, and check-in/check-out dates, rather than just a category-and-amount total.


1099 Report

This report tracks gross owner income generated from reservations and resolution payouts marked to owner. It can be generated three ways:

By Owner

Shows a list of owners with their total (Booking Financials plus Resolution Payouts), then separate columns for:

  • Booking Financials: financials with a recognized date in the selected date range, marked to owner.

  • Resolution Payouts to Owners: payouts to owner with a date in the selected date range.

  • Expense Report: if you select Create Expense Reports, this column links to an Excel file per owner listing every transaction added to their owner statements, except transactions with the type Payment To/From Owners.

By Asset

Generates the same report broken out by asset instead of by owner. Expense reports can't be created from this view, only the By Owner view supports that.

By Categories Tagged as 1099

The default version of this report tracks all owner income regardless of category. This option tracks only reservation financials from categories you've tagged as 1099, regardless of how they're allocated. To tag a category, go to Categories, open the category, and check the 1099 box. This is useful if a category nets to management inside a booking (a cleaning fee, for example) but still needs to be reported as revenue on the 1099.

For any of these versions, we always recommend checking with your CPA or accountant on how they want owner financials reported, then using Clearing's filters and tagging options to build the report to match.


Taxable Revenue

This report tracks all reservation financials from categories tagged as taxable revenue, regardless of allocation. To tag a category, go to Categories, open the category, and check the Taxable Revenue box.

The report lists every asset with its taxable booking financials, recognized based on the date in the selected range. You can filter by asset, owner, channel, or status (confirmed vs. canceled bookings, for example), download the full report as a CSV, or right-click any amount to drill into the sub-transactions and export those to Excel.


Missing Categories

This report helps you identify bookings that are missing a specific category. To include a category, go to Categories, open it, and apply the appropriate tag. Once generated, the report lists every booking missing that category so you can open and review it.

This is especially handy for catching Airbnb special offer bookings, since Airbnb sends those back through your PMS as one lump sum instead of separate lines like nightly rate, cleaning fee, and taxes. Pulling this report regularly helps you catch a booking that came through missing a cleaning fee or other category you'd normally collect.


Using Filters

Every report in this suite supports filters, so you can narrow your results by asset, owner, category is or is not, channel, status, or accounting field (management, owner, security deposit, tax, vendor, exclude).

Whenever you apply filters, you can save them with a name for next time. Click Add Filter, choose Save Filters, and name it, then apply that saved filter any time you come back to the report. This is especially handy for reports you pull on a regular basis, so you're not rebuilding the same filters every time.
