How to Use Clearing’s Booking Reconciliation Report

Simplify your booking reconciliation process and ensure financial accuracy with Clearing’s Trust Accounting.

Clearing's Booking Reconciliation report confirms that all bookings that are recognized in a given period have been fully paid, and that the amounts received in your bank account match the amounts expected from the booking details. Run this after completing your transaction reconciliation and before generating owner statements.

The goal is simple: every booking that checked out should show Full in Bank. Anything else needs to be investigated before you move on to statements.


Step 1: Navigate to the Reporting Section

From the main dashboard, click on "Reporting" in the navigation menu. Select "Booking Reconciliation" from the available reporting options.


Step 2: Set Your Date Range

Choose the date range for the reconciliation process. Most users select the previous month when reviewing bookings for their current owner statements. There are also quick access filters for "last month" and "current month."

Tip: Filter back 1-3 prior months periodically to catch any resolutions, refunds, or chargebacks that landed after a booking was already locked.


Step 3: Apply Filters

Use filters to focus on specific criteria. Click "Add filters" to apply.

From the "Add filters" panel, you can filter by:

  • Asset

  • Owner

  • Booking Channel (e.g., Airbnb, VRBO)

  • Booking Status

From the report's menu bar, you can also:

  • Organize by booking, owner, asset, channel, status, or bookings excluded from statements

  • Show only bookings that are "All but Full in Bank" — the fastest way to see what still needs attention

  • Show only split bookings, or only non-split bookings

  • Filter by locked or unlocked bookings

  • Filter by reconciliation status: Full in Bank, Partial in Bank, Collected More, No Match Found, Marked as Paid, or Owner Collected

If you frequently use the same filter settings, save them for quick access by clicking "save current filters." To revisit them, click "open saved filters" and select the one you need.

Step 4: Generate the Report

Click the "Generate" button. Give it a moment to load, especially if you have a large number of bookings.

Once generated, the two main columns are Expected Payout and Actual Payout in Bank. The Expected Payout is everything within the booking itself — booking financials from your PMS plus any formulas applied in Clearing. The Actual Payout in Bank is the transaction received in your bank account that has been matched to that booking. The goal is for these to match on every booking.

If you expect more funds to arrive but they haven't yet, you can delay the recognized date on the booking to a future month, allowing time for the deposit to clear before processing the owner payout.

Important: Always ensure all funds have been collected before paying out an owner. Paying before funds arrive can result in miscalculated owner payments and trust account imbalances.


Step 5: Choose an Aggregation Level

Customize how the data is displayed:

  • By Booking — view reconciliation details for individual bookings.

  • By Owner — summarize balances by owner.

  • By Asset — group transactions by property.

  • By Channel — see results based on the booking channel.

  • By Status (default) — organize bookings based on reconciliation status.

Step 6: Interpret the Reconciliation Status

On the far right, you'll see a colour coded circle indicating the status of each booking's reconciliation.

  • Green — Full in Bank. The expected payout matches the actual deposit. Good to go.

  • Yellow — Partial in Bank or Collected More. Less than expected has been received, or more was collected than expected.

  • Red — No Match Found. No bank deposit has been matched to this booking yet. This could mean the payment hasn't arrived, the deposit hasn't been matched, or the booking was paid outside the system (e.g., cash).

If discrepancies exist and the funds have been fully collected, you can adjust booking financials to align with the actual bank deposit. The bank account is the source of truth.

Step 7: Troubleshoot a Booking That Won't Reconcile

When a booking shows anything other than Full in Bank, work through these steps in order:

  1. Open the booking and click Refresh. This reapplies any updates from your PMS and reruns any rules that should have applied. This resolves most issues.

  2. Compare against your PMS. Open the same booking in your PMS and look for anything that doesn't line up with what you're seeing in Clearing.

  3. Check for a future-dated transaction. If additional funds came in for this booking in a different month, that transaction still needs to be matched to this booking. It may just be waiting to be allocated.

  4. Manually apply rules. If the refresh didn't trigger the rules you expected, click the "Apply" button directly on the booking to run them manually.

Once you've made any changes, either regenerate the report or click the refresh button next to the booking row to update it in place. If the booking is now Full in Bank, lock it.

Step 8: Lock Confirmed Bookings

As you confirm each booking is Full in Bank, lock it. Locking prevents any future rule runs, PMS syncs, or manual edits from changing a booking you've already verified. It also keeps your Unlocked filter accurate as a to-do list for what still needs attention.

You can lock bookings individually from the report, or in bulk once you're confident everything is reconciled. When all bookings for the period are locked, you're ready to move on to generating statements.


Step 9: View Reconciliation Status from a Booking

You can also check reconciliation status directly from the Bookings tab. Enter a date range, apply any filters, and click "Open" on the booking you want to inspect.

From inside the booking you can see the booking financials and the transaction financials in one place. Scrolling down shows the reconciliation section, with the full payout breakdown and status.

Step 10: Export Your Reconciliation Data

Export the report to Excel by clicking "Export to Excel" for further analysis or to share with your team.

Optional: Reconciliation Settings

Clearing gives you a few settings to fine-tune how the reconciliation report calculates expected payouts. These can be configured globally under report settings, or per-asset under the asset's Reconciliation Settings section.

Excluded Categories

Select categories to exclude from the reconciliation calculations. Excluded categories are removed from both the booking data and bank transaction totals. You can set different exclusions per channel, so for example you might exclude a fee category for Airbnb that doesn't apply to VRBO.

Included Categories

Force the reconciliation to only calculate against specific categories for certain assets or channels. This is particularly useful for co-hosting arrangements. For example, if you're a co-host who receives only the cleaning fee and 10% of the payout for certain Airbnb listings, you can set those as the only included categories so the expected payout reflects what you actually collect, not the full booking amount.

Per-Asset Settings

Open any asset and scroll to the bottom of the asset settings to find additional Reconciliation options, including:

  • Include Resolution Payouts — adds resolution payouts to the expected payout so the report accounts for them during reconciliation.

  • Include Commission — includes your co-host commission in the expected payout calculation. Relevant when co-hosting with Airbnb.
