Owner statement settings live under Statements → Owner Statements → Settings (top right of the statements screen). There are three tabs: Settings, Customize Statements, and Owner Portal. This article covers every option across all three.
These are one-time setup steps — configure them once and they apply going forward. You can revisit and update them at any time.
Tab 1: Settings
Owner statements are generated using the finances associated with bookings whose recognized date falls within the date range you selected. You can check which bookings are included and unselect any of them. You can also edit any amount displayed, and attach additional expenses from transaction data.
Balance & Previous Statement
Include the previous statement balance on statements — carries the closing balance from the prior month forward as a "previous balance" line. Recommended on for most setups.
Previous balance should not consider statements marked as Paid — when enabled, statements already marked as paid are excluded from the previous balance calculation, so the previous balance on the next statement starts at $0. Useful to avoid double-counting a paid period.
Display Options
Hide guest name — removes guest names from the booking list on the statement.
Hide channel name — removes the booking channel (e.g. Airbnb, VRBO) from the statement.
Hide merchant name in list of transactions — removes the merchant/vendor name from the transaction section.
Show PMS reservation status in owner statements in app (but not on PDF) — shows the reservation status from your PMS inside Clearing when viewing a statement. This is for your reference only — the status is not visible on the PDF sent to the owner.
Show number of nights per booking — adds a nights column to the booking list.
Ability to download receipts from the statement — gives owners the option to download receipts directly from their statement.
Hide individual transactions — collapses the individual transaction list, showing only summary totals.
Show booking status in owner statements and PDF — displays reconciliation status (Full in Bank, Partial in Bank, etc.) on the statement and PDF.
Hide the reservation external code — removes the external booking code (e.g. Airbnb confirmation code) from the statement.
Locking
Fully lock bookings when saving a statement — automatically locks all bookings included in the statement when you save. Recommended.
Fully lock bookings when paying a statement — automatically locks all bookings when the owner is paid.
Fully lock txns when saving a statement — automatically locks all transactions when you save the statement. Recommended.
Fully lock txns when paying a statement — automatically locks all transactions when the owner is paid.
Tip: Enabling all four locking settings is recommended. This ensures nothing slips through unlocked regardless of whether you save or go straight to paying.
Summary Defaults
These control which summary views are on by default when generating a statement. You can still toggle them per statement — these just set the starting state.
Show summary by booking by default

Hide transaction summary in the summary by booking — removes the transaction sub-total from the summary by booking view.
Show YTD summary by default — adds a year-to-date summary to statements by default.
Tax, Occupancy & Other
Enable tax on transactions — enables a tax field on transactions so you can track and report tax amounts separately on statements. This is primarily useful for users in Canada who need to report different taxes. Taxes applied on transactions can be categorized and accounted "to owner" or "to management" — when marked "to owner" they will appear on the owner statement.
Show occupancy for assets — displays occupancy data (nights booked vs. available) on the statement.
Show total nights by asset — shows total nights booked per asset.
Avoid current user to be cc'd when emailing owner statements — by default the logged-in user is cc'd on all statement emails. Enable this to remove yourself.
When paying a statement, automatically publish it to the portal — publishes the statement to the owner portal automatically when payment is processed, so you don't have to publish separately.
Tab 2: Customize Statements
Controls the visual appearance of statements and how they're labeled and emailed to owners.
Custom Statement Summary
Turn on custom statement summary — by default, all negative reservation financials are grouped into a single "booking fees" line in the statement summary. Enabling this replaces that line with a breakdown by category, giving owners more granular visibility. It also lets you rename each summary line label. Can be toggled on or off at any time.
Branding
Logo — upload your company logo (max 5MB). Appears at the top of all owner statement PDFs.
Text color — sets the primary text color on statements.
Background color — sets the statement background color.
Separator color — sets the color of divider lines between statement sections.
Summary titles — sets the color of section title text in the statement summary.
Business name on owner statements — the name that appears on statement PDFs. Useful if your operating name differs from your legal entity name.
Address on owner statements — your business address as it appears on the statement.
Email on owner statements — the reply-to email address displayed on statements and used when owners reply to statement emails.
Email Templates
Email body for sending statements — the email owners receive when you send a statement. You can personalize the body using dynamic variables that are automatically replaced with the right data for each owner:
{{Owner_name}}— the name of the homeowner whose statement is being sent{{Sender_name}}— your first name{{Statement_start_date}}— the start date of the statement period{{Statement_end_date}}— the end date of the statement period{{Statement_amount}}— the net total of the statement{{Sender_email}}— the email address owners can use if they have questions
Email body when notifying owners ("notify" button) — sent when you use the Notify button to alert owners that a statement has been published to their portal. Supports the same dynamic variables listed above.
Optional emails to CC when sending owner statements by email — add addresses to be cc'd on all statement emails. By default the current user is cc'd; use the "Avoid current user to be cc'd" setting in Tab 1 to remove yourself.
Naming & Labels
Commission name on statements — customize the label for your management commission line (e.g. "Management Fee," "Property Management Commission").
Booking fees name on statements — customize the label for the booking fees line.
Type of description to show on the list of individual transactions in a statement — controls what description owners see on each transaction line. Options include transaction note, memo, or description to owner.
Optional text to display in the top left corner of the owner statements — free-text field for any additional information to appear in the header of every statement (e.g. a message, policy note, or contact information).
Occupancy Calculation
Categories to sum for ADR — select which booking financial categories are included when calculating Average Daily Rate on the statement. Typically the net rent or accommodation fare category.
Booking statuses to include in occupancy calculation — choose which reservation statuses count toward occupancy when occupancy data is displayed on the statement.
Tab 3: Owner Portal
Controls the owner portal experience — how owners access their statements and what it looks like when they log in.
Portal Access
Owners each have their own login credentials and a single-page view of all statements published to them. To invite an owner, go to Assets & Owners → Owners → Invite Owners, filter by "Not Invited," and send an invite or temporary password. Full instructions are available here.
Additional per-owner features (reservations visibility, co-owner access, etc.) can be controlled from the owner's section in the Assets & Owners tab.
Portal Branding
Owner Portal Logo — upload a logo to display in the owner portal (max 5MB, separate from the statement PDF logo).
Owner portal color 1 (Left navigation bar) — sets the background color of the left navigation bar in the owner portal.
Owner portal color 2 (Buttons and tabs) — sets the color used for buttons and tabs throughout the portal.
Tip: Use your brand colors for the owner portal. If you have very dark or bold colors, consider using a softer or lighter version of each — heavy colors can make the navigation hard to read. After updating colors or the logo, always open an owner portal to preview the result. From the statements screen, click "Portal" in the vertical owner list on the left.
