What is an asset?

  • In Clearing, an asset is equivalent to a listing and represents entities from your PMS that guests can book. You can rename, create manually, and categorize assets, which are used to organize and manage transactions and bookings.

Where are the assets coming from?

  • Assets in Clearing originate from your Property Management System (PMS). During onboarding, all your listings are initially placed in the "unassigned" section until they are linked to homeowners.

How can I edit an asset?

To edit an asset in Clearing:

  • Click on the "Assets & owners" module.

  • Select the relevant asset.

  • Rename the asset, attach it to a homeowner, place it in a group, and set the correct time zone.

Ensure the time zone is accurately set to display booking dates correctly.

Can I delete an asset?

  • Yes, you can delete an asset, but it's not recommended unless it's a new asset.

  • Deleting linked assets may break previously categorized transactions.

How can I refresh my list of assets?

  • When you click on “New asset,” you’ll find a button to refresh your list of assets based on your listings in your Property Management System.

  • This action won’t delete any existing assets in Clearing; it will simply update the list with any new or modified assets from your PMS.

What is a group of assets?

  • A group of assets in Clearing is a way to categorize and organize assets for reporting purposes.

  • While optional, it is useful for enhancing reporting and transaction categorization.

How can I create groups of assets?

  • Click the "+" button next to "Groups" in the "Assets & owners" module.

I’m switching Property Management System, what should I do?

  • You can switch Property Management Systems (PMS) without any issues.

  • We will connect your new PMS and map the existing data with the assets from the new system.

  • Simply reach out to [email protected], and we will assist you with the transition.

What is an owner?

  • An owner is an individual or business that owns assets.

  • In Clearing, owners are linked to their respective assets, and statements can be sent to the email addresses specified for each owner.

Where are the owners coming from?

  • For certain Property Management Systems, Clearing can retrieve owner information directly during the onboarding process.

  • You also have the option to manually create and edit homeowners and link them to assets as needed.

How can I edit an owner?

  • To edit an owner:

    • Click on the "Assets & Owners" module.

    • Click on the relevant Owner.

    • Update information such as names, emails, minimum balance, and tax ID, if necessary.

Can I delete an owner?

  • Yes, you can delete an owner.

  • Exercise caution, and ensure it's necessary, to avoid potential data issues.

How can I refresh my list of owners?

  • You can refresh your list of owners by manually creating new homeowners or pulling existing ones from your PMS.

  • When pulling from your PMS, existing owners in Clearing won’t be deleted; instead, their information will be updated, and new owners that are not yet in Clearing will be created.

How can I link owners and assets?

  • To link owners and assets:

    • Click on the asset you want to link from within the "Assets & owners" module.

    • Select the homeowner from the dropdown menu.

    • Keep in mind that one owner can be linked to multiple assets, but each asset can currently be tied to only a single owner.

What should I do after I link an asset to an owner?

  • After linking an owner to an asset, ensure that all data assigned to the asset is also linked to the homeowner by using the "Apply Homeowner to All Transactions" option. This ensures consistency and accuracy in your records.

Can I attach multiple owners to the same asset?

  • Currently, Clearing allows an asset to be linked to a single homeowner.

  • The ability to link the same asset to multiple homeowners is under development.
