Rules by Category lets you attach an accounting field to a category, so every transaction with that category is allocated the same way, such as to the owner, to management, or to tax.
Setting Up Rules by Category
Step 1: Open Rules by Category
Go to Rules in the left-hand menu, select the On Transactions tab, then click By Category.
This lists every category you have created in Clearing.
Step 2: Choose an Accounting Field
Next to a category, select the accounting field that category should always receive. See How to Use Clearing's Trust Accounting Field for what each option does.
Examples:
Maintenance goes to Owner.
Subscription goes to Management.
Tax Payment goes to Tax.
Note: Rules by Category is meant for Categories used strictly on transactions, not booking financials. Do not set a rule here for data that comes from your PMS booking data, such as Accommodation Fare or Cleaning Fee. Those are handled under Rules on Booking Financials.
Frequently Asked Questions
What if I need to be more specific than category?
What if I need to be more specific than category?
Rules by Category works when all you need is "this category always gets this accounting field." If you need more, such as a specific merchant plus a category, create a Custom Rule on Transactions instead.
